Cost per meeting outbound: the one number to track
Cost per meeting outbound is your total monthly outbound spend divided by the number of meetings held with a buyer who fits your ideal customer profile. Track that figure and treat the rest as inputs. Emails sent, open rates and reply counts all feed it, but none of them pays a bill.
Vendors tend to report what is easy to count, which is volume. You need the number your calendar and your CRM can confirm.
What counts as a held meeting
A held meeting has three parts: the buyer showed up, the person has a say in the purchase, and the company matches the ICP you wrote down before the campaign started. A booked meeting is only a calendar invite. A booked meeting that no-shows costs the same to produce as one that happens, so your cost per booked meeting will always look better than your cost per held meeting.
Write the definition down before the first email goes out, so nobody has to argue about it afterward.
How to work out cost per meeting outbound
Add up everything you pay for outbound in a period: the tool or agency fee, sending domains and mailboxes if they are billed separately, list data, and the hours your own people spend on replies, call prep and rescheduling. Divide by held meetings in the same period.
With made-up numbers: you spend $10,000 in a month and eight meetings are held, which is $1,250 each. Four meetings on the same spend is $2,500 each. The spend did not change, so the number is telling you about results.
Sequences run over weeks, so one month can swing hard in either direction. Look at a rolling three months before you judge anything.
What the market charges
These are published or quoted prices from public comparisons, November 2026. The monthly fee is only the start of your cost per held meeting.
| Model | Published price | What still lands on you |
|---|---|---|
| AI SDR software (AiSDR, Reply.io, Instantly) | $250 to $2,500 a month | Lists, domains, copy review, reply handling |
| AI SDR platforms (11x, Artisan) | $2,400 to $7,200 a month, priced by quote | ICP definition, quality control, meeting follow-up |
| Dedicated US SDR agencies (SalesRoads, Belkins, CIENCE) | $6,000 to $12,000 a month | Handoff and any gap between booked and held |
| Outbound pods (Callbox) | $16,000 to $32,000 a month | Same as agencies, at larger scale |
| Pay-per-meeting firms | $150 to $1,500 per held meeting | Checking their definition of held |
SalesRoads lists $11,950 per four weeks for one SDR, which gives you a concrete baseline for a person doing the work full time. Software at $250 a month looks cheap until you add the hours someone on your team spends feeding it.
Pay-per-meeting pricing seems to settle the question because the price is already per meeting. A tenfold spread between $150 and $1,500 suggests the definition of a meeting varies. Ask what is billed when a buyer no-shows or turns out to be a poor fit.
LynkAI's Outbound Desk is $10,000 a month with Managed AI SEO included. We report meetings weekly and do not guarantee them, so you can work out the number yourself from the first week. The first 30 days run as a pilot.
Where the number goes wrong
- Counting booked meetings and calling them held.
- Leaving your own team's hours out of the cost.
- Judging the campaign after two weeks, before replies from the later sequence steps arrive.
- Crediting outbound with meetings that came from referrals, inbound forms or a prospect who was already talking to you.
The last one is the easiest to miss, because it flatters the campaign. Tag the source on every meeting at the moment it is booked.
Set it up this week
- Write your definition of a held meeting: attendance, role, ICP fit.
- Add four fields to your CRM meeting record: date booked, held yes or no, ICP fit yes or no, and source.
- Pull the last 90 days of spend from every outbound line item, including data and domains, and estimate internal hours.
- Divide by held meetings from outbound sources only. That is your starting cost per meeting outbound.
- Compare it with your close rate and average contract value. Those two figures set the most you can pay for a meeting and still make money on the deal.
If a vendor cannot send you a weekly list of meetings with held status next to each one, you cannot compute step 4. Ask for that list before you sign.
Outbound reaches buyers who are not searching. Others are searching, and some of them ask ChatGPT, Gemini or Perplexity. The free AI visibility scan shows whether your business gets cited for the questions your buyers ask, which gives you a second channel to compare against your outbound number.
